Patient Service Terms

These terms govern the coordination service we provide to patients. Please read section 2 carefully — it sets out the limits of our role.

Last updated 17 August 2026

1. The service we provide

DentaSpot coordinates dental treatment with independent featured clinics. Our service consists of: reviewing the information and images you send us; passing your case to clinicians at featured clinics for assessment; presenting you with the treatment plans and pricing they return; assisting with scheduling, accommodation and airport transfers; and acting as your point of contact before, during and after treatment.

  • We do not diagnose, treat, or give clinical advice.
  • We do not select your treatment — a licensed clinician does, and you decide whether to accept it.
  • We do not take payment for treatment. You pay the treating clinic directly.

2. Our role, and its limits

Clinical responsibility for your treatment rests with the treating clinic and the treating clinician. Your contract for treatment is with that clinic, on its own terms, and is subject to the law and professional regulation of the country where treatment is delivered.

We select featured clinics using the audit process described on our clinics page and we take that responsibility seriously. However, auditing a clinic is not a warranty of clinical outcome, and no agency can guarantee the result of a medical procedure.

3. Enquiries and assessment

Submitting an enquiry is free and places you under no obligation. It does not reserve a date or oblige any clinic to accept your case.

Assessment depends on the quality of the information you provide. You agree that the information you give us — including your medical history, medication, and any radiographs or scans — is accurate and complete to the best of your knowledge.

Withholding relevant medical information can make treatment unsafe. A featured clinician may decline your case, or revise a plan on arrival, if what they find differs materially from what was disclosed.

4. Quotations and pricing

Published prices are indicative ranges. A quotation specific to you is issued in writing only after a clinician at a featured clinic has reviewed your imaging.

A written quotation is fixed for the treatment it describes. If, during treatment, the clinician identifies additional work that is clinically necessary, that work is quoted and agreed with you before it proceeds.

  • Quotations are valid for the period stated on them.
  • Quotations state what is included and excluded. Read that section.
  • Where a quotation includes accommodation or transfers, the standard and duration are as specified.
  • Currency fluctuation may affect the amount payable in your own currency at the time of payment.

5. Payment

You pay the treating clinic directly, at the clinic, in accordance with its own payment terms. DentaSpot does not hold patient funds for treatment and does not require a deposit to hold a treatment date.

Featured clinics pay DentaSpot a flat referral fee per case. That fee does not vary with the size or value of your treatment plan. DentaSpot is not a party to any financial transaction, payment agreement, or refund dispute between you and the treating clinic. All financial responsibilities, pricing guarantees, and refund policies rest entirely and exclusively with the clinic. We accept no liability for any financial disputes arising from your treatment.

Refunds for treatment are a matter between you and the treating clinic under its terms and applicable local law.

6. Changes and cancellation

You may cancel or postpone at any time before treatment begins by telling your coordinator. We do not charge a cancellation fee for the coordination service.

Flights, hotels and other travel arrangements you have booked yourself are subject to the cancellation terms of those providers. We strongly recommend travel insurance that covers medical travel and trip cancellation.

A featured clinic may reschedule where clinically necessary, or where a clinician is unavailable through illness or emergency. We will offer the earliest alternative date or an alternative featured clinic.

We may decline or withdraw from coordinating a case — for example where no clinician considers the treatment appropriate, or where we cannot obtain the information needed to proceed safely.

7. Travel, documents and fitness to fly

You are responsible for your own passport, visa, entry requirements and travel insurance. We can tell you what is typically required, but requirements depend on your nationality and change without notice.

You are responsible for confirming that you are fit to fly, particularly following surgery. Follow the discharge advice given by your treating clinician.

8. Guarantees are given by the clinic, not by us

Featured clinics each operate their own workmanship guarantee. The period, the scope, the exclusions and the claims procedure are set by that clinic and are stated in the guarantee certificate or treatment documentation it issues to you. Terms differ between clinics and between treatments, so the document you receive from your clinic governs — not any summary published here or elsewhere on this website.

Your guarantee rights are exercisable against the treating clinic. If a clinic declines a claim, refuses to honour its guarantee, ceases trading or becomes insolvent, DentaSpot has no liability to perform, fund or replace that guarantee, and you retain whatever rights you have against the clinic under the law of the country where treatment was provided.

What we do, at no charge to you, is help you use it:

  • We hold your coordination records and can supply them to support a claim.
  • We raise the claim with the clinic on your behalf and interpret between you.
  • We press the clinic to apply its own terms fairly, and we take repeated failures into account at annual re-audit.
  • We can identify the health regulator in the country of treatment if you wish to escalate.

That assistance is part of our coordination service. It is not a guarantee, an assumption of the clinic’s obligations, or a promise of any particular outcome to a claim.

Before you travel, ask your clinic in writing for its guarantee period, what it covers, what it excludes, and whether any travel costs for a remake are included. We will ask on your behalf if you prefer. Get the answer in writing and keep it with your treatment records.

9. Aftercare and records

You will be provided with your clinical records in English, including the implant system used where applicable, so that any dentist can continue your care.

Routine aftercare in your own country is your responsibility and at your own cost. Where a claim falls within the treating clinic’s guarantee, that clinic’s terms determine what it covers.

10. Complaints

If something goes wrong, tell your coordinator first — most issues are resolved fastest that way.

If you wish to make a formal complaint, email info@denta-spot.com. We will acknowledge within 2 working days and respond substantively within 14 working days.

Complaints about clinical care are also matters for the treating clinic and, where relevant, the health regulator in the country of treatment. We will provide the details of the relevant regulator on request.

11. Liability

Nothing here excludes liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot lawfully be excluded.

Subject to that: we are liable for the coordination service we provide, exercising reasonable skill and care. We are not liable for the clinical acts or omissions of independent featured clinics, for outcomes of treatment, for a clinic’s performance or non-performance of its own guarantee, or for losses arising from travel disruption outside our control.

Our aggregate liability arising from the coordination service is limited to the absolute minimum permitted by law, as our coordination service is provided to you free of charge.

12. Governing law

These terms are governed by the laws of the State of Wyoming, United States. Nothing in this clause removes any mandatory consumer protection you have under the law of the state or country where you live. Your separate contract with a treating clinic, including its guarantee, is governed by the law of the country where treatment is provided.
